How we handle your information.

Signature Property Response, a division of Signature Biohazard (“we”, “us”), provides specialty cleaning and related property services. This policy explains what information we collect when you use this website, call or email us, or engage us for a cleaning plan, and how we use it.

What this website collects

This website has no account, login or contact form. Our hosting provider records standard server logs (IP address, browser type, pages requested and time of request) to operate and secure the site. We do not set advertising cookies on this site. If we add analytics in future, this policy will say so.

Payments

Payments are made through Stripe Checkout. Card and bank details are entered on Stripe’s pages and are held by Stripe, not by us. We receive confirmation of the payment, the amount, the payer’s name and email address and the proposal reference you enter. The checkout merchant is Signature Hauling & Removal. Stripe’s own privacy policy governs its handling of your payment details.

Calls, texts and email

When you call 1-866-7-TRACEOUT, the call may be recorded and may be answered by an automated assistant before reaching a member of our team. Our call-handling provider records the caller’s number, the time and length of the call and, where recording is on, the recording and a transcript. Where the law requires it, you will hear a notice at the start of the call. We use this information to respond to your enquiry, schedule work, keep an accurate record and train our staff. If you text us, standard message and data rates apply and you can reply STOP at any time. Email sent to info@traceoutclean.com is kept as part of our correspondence record.

Proposals and service records

To prepare and deliver a cleaning plan we collect the property address, unit, access arrangements, the name and contact details of the property contact and the people authorising the work, and the details of the proposal and agreement. During service we keep a daily log, which may include photographs of the treated surfaces. These records are kept to perform the agreement, to document the work and to meet our legal and insurance obligations. Photographs are limited to the work itself and are not published or used in marketing without written permission from the property owner or manager.

Who we share information with

We share information only with the people and providers who need it to deliver the service: our crew and office staff, our payment processor, our call-handling and email providers, our insurers where a claim requires it, and professional advisers. We disclose information where a court, regulator or law requires it. We do not sell personal information and we do not share it with third parties for their own marketing.

How long we keep it

Proposal, agreement and service records are kept for as long as needed to perform the agreement and then for the period required by tax, insurance and contractor regulations, generally seven years. Call recordings and transcripts are kept for a shorter period unless they relate to an active job or dispute. Server logs are kept for a limited time by our hosting provider.

Your choices

You may ask what information we hold about you, ask us to correct it, or ask us to delete information we are not required to keep. You may also ask us not to record a call; tell us at the start and we will take the call unrecorded where we are able to. Residents of Virginia and other states with consumer privacy laws may have additional rights, which we will honour on request. Write to info@traceoutclean.com.

Children

This website and our services are for property owners, managers and their representatives. We do not knowingly collect information from children under 16.

Changes

When we change this policy we will update the effective date at the top of the page. Material changes to how we handle information already collected will be communicated to the people affected.
